Your Team Responsibilities

We are seeking an experienced and highly capable Executive Assistant to support the CEO of a dynamic Financial Services firm. This is a mission-critical role at the heart of the executive office, requiring an individual who thrives in a fast-paced, high-stakes environment, and brings exceptional organizational, interpersonal, and judgment skills.


You will be the right hand to the CEO — managing a complex array of responsibilities spanning scheduling, communications, project oversight, event coordination, and stakeholder engagement at the highest levels. This is not a traditional 9-to-5 position; we are looking for someone who is responsive, proactive, and thrives in a “24/7 mindset” environment

Your Key Ressponsibilities

  • Calendar & Schedule Management:
    Oversee and manage an ever-changing, complex calendar with precision and discretion, ensuring optimal alignment of priorities across internal and external engagements.
  • Prioritization & Workflow Management:
    Navigate competing demands with efficiency and clarity; proactively assess what requires immediate attention and escalate issues using sound judgment.
  • Communication:
    Draft, proof, and manage written communications on behalf of the CEO with professionalism and speed. Maintain a high standard of clarity, accuracy, and tone under pressure.
  • Project & Event Management:
    Support or lead special projects, internal initiatives, and external events. Handle all logistics around executive-level meetings, board engagements, and private dinners — including venue sourcing and coordination.
  • Technology & AI Integration:
    Leverage tools and platforms (including AI-based solutions) to optimize scheduling, task tracking, communications, and operational workflows.
  • Stakeholder Relations:
    Interface with Board members, senior leaders, clients, and investors, always demonstrating discretion, professionalism, and emotional intelligence.
  • Office Presence:
    Minimum 2–3 days in the office per week; flexibility to be present as needed for key meetings, events, or time-sensitive matters.

Your skills and experience that will help you excel

  • Proven Experience:
    Minimum 5–7 years supporting a CEO or C-suite executive, preferably within financial services or a similarly fast-paced, high-demand industry.
  • Exceptional Judgment & Discretion:
    Handle confidential information with integrity; act as a trusted partner and gatekeeper.
  • Superior Written & Verbal Communication:
    Excellent command of language and tone; adept at composing and editing high-level documents and communications.
  • Tech-Savvy & AI-Literate:
    Proficiency with productivity and collaboration tools (Google Workspace, Microsoft Office, project management platforms); enthusiasm for leveraging AI in workflows.
  • Organized & Detail-Oriented:
    Impeccable attention to detail, time management, and follow-through across all responsibilities.
  • Self-Starter with Initiative:
    Takes ownership, anticipates needs, and drives execution with minimal oversight.
  • Adaptability & EQ:
    Demonstrates calm under pressure, an intuitive understanding of people and situations, and the flexibility to shift gears swiftly.
  • Education:
    Bachelor’s degree required.
